| Description: | • I have been working with the International Committee of the Red Cross, (ICRC) since 2002, which makes almost seven years of experience. I was appointed as a Receptionist and then I was promoted to the post of Secretary.
• Major responsibilities as Secretary are Secretarial Duties • As a Secretary, I am responsible for the official correspondence of the Head of Sub-delegation, such as letters, faxes, minutes of meetings • Taking appointments with important interlocutors and obtaining their confirmation. • Training of new staff on working with the ICRC's electronic mailing system • Daily monitoring of media and uploading in the data in the monitoring data. Preparing a weekly report to be sent to the headquarters in Geneva. • Providing necessary help to the employees in the use of ICRC standard templates in order to ensure that official correspondence gives a good impression about the organization. • Dealing with the courier services and responsible for concluding contracts and their subsequent renewal with the courier companies. • Helping the accounts dept by making bills and checking them for various magazines, newspapers and courier services. • Responsible for handling all photocopiers in the office and solving minor defects. Maintaining the contracts of all photocopiers and keep contact with the technicians in order to keep the photocopiers in working order. • Keeping a stock of stationery for the whole office and providing it to all departments according to their needs. Maintaining a proper inventory of the stationery items. • Training of the junior secretaries Reception • Handling the switch board, taking all calls and directing them to the concerned persons • Receiving guests • Forwarding the telephone bills to the Administrator and charging the private calls made by the employees Filing Maintenance • I am responsible for maintaining a systematic filing system in accordance with the general filing system used in ICRC around the World. All the documents coming to the office are numbered and the filed properly. I also train other secretaries about keeping a neat and efficient filing system in order to be able to retrieve the documents as quickly as possible when needed. |
